Submitting Sets

Introduction

Rebrickable has a huge set catalog, and new sets are constantly added. However, it is possible that you might own a set that is still unknown to us, or, for which the part inventory may be empty or incomplete. Also, your set might contain some spare parts that Rebrickable doesn't know about, or we might not have an image for the set. In each of these cases, if you can provide the information, we will update our set catalog.

To add a completely new set, use Submit a Set.
To add a full part inventory to an empty set, use Submit an Inventory.
To add or change a few parts, or add some spare parts, or a new set image, use a Change Request.

When Not to Submit a Set

Sets available on LEGO.com including gift with purchase sets will be added to Rebrickable by admins. They have automated tools that can extract data directly from the LEGO website and similar tools that cross-check data with parts lists from instruction manuals. This method is less time consuming for both users and admins and results in fewer errors. If a set is tagged with Pending, please do not submit an invenory as we are waiting on LEGO.

Submitting Sets

If you own an Official LEGO Set that Rebrickable doesn't know about, you can use a special submission form to have the Set added to the Rebrickable database. You will require a full sized image of the set, and an inventory of parts or sets. This feature is only available for members with level 5 or higher.

Overview

Submitting a set is a 4-step process. After completing each step, you can save your work and continue at a later moment. After completing the first step, the new set will show up on your Home page under Your Changes, with status In Progress. Use the link to pick up where you left. At any moment you can delete your new set by using the Cancel and Delete this Set button. When you have completed Step 4 and your set has been submitted, its status will change to Waiting for Approval. Your submission will been added to a queue and an Admin will take a look at it. When your Set is approved it will be published automatically and you will receive an email notification. If you need to make changes, after the set has been submitted, you can edit any step and progress through to the resubmission page, however you will be added to the end of the review queue.

Step 1 - Description

Use main menu Sets > Submit a Set to start the process. In Step 1 you will be asked to provide the Set Details:

Set Type*: Normal Set / Sub-Set / B-Model
Set Number*: e.g. 12345-1, 12345-1-s1, 12345-1-b1, 12345-c1
Name*
Year* (select dropdown)
Theme* dropdown
Accessory/Supplemental Set

(* is manditory) For More information about Set Types and Numbering, see Set Types. If needed, check LEGO.com for the official name, the release year and the theme.

Press the Save and Next Step button to backup your work and continue.

Step 2 - Image

Here you will be asked to provide an image for your new set. We will not accept an image found 'somewhere' on the internet. To prevent disappointment, please read Submitting Images and Photos very carefully and follow the guidelines.

To submit your image, you can:

Upload Image from File by using the Upload Image from File button
Upload Image from Web by entering the Image URL and pressing the Save Image / Close button
Drag and Drop your photo to the designated area

After uploading your image will be display at full size; press the Save and Next Step button to backup your work and continue.

Step 3 - Inventory

When entering Step 3, you'll see the following message: "Error - Empty Inventory. There are no parts in the inventory. Please add parts by importing from a file or add them manually by searching for them." If you try to press the Save and Next Step button an error message will be display ("Inventory has errors").

There are two ways to add parts to your new set:

Importing Parts
Adding Parts Manually

Do NOT import an inventory copied from BrickLink. This is not allowed, it is illegal, the part numbers do not match and your set will be rejected. More information about adding parts can be found in the section "Adding Parts to a Part List" of Part Lists. Press the Save and Next Step button to backup your work and continue. If needed, you can continue adding parts at a later moment.

Step 4 - Submit

When you finished adding parts to the inventory, you are all done! To finalise your submission, you can add a note for the Admin, and if it is not obvious where the Set came from (e.g. a rare promotional item), you must indicate its source. Press the Submit Set for Approval button to submit your set. On you Home page, the status of the set will change to Waiting for Approval and you will receive an confirmation email.

Submitting Inventories

If you own an Official LEGO Set for which Rebrickable has an empty or incomplete inventory, you can use a special submission form to have the inventory added to the Rebrickable database. You will require an inventory of parts or sets. This feature is only available for members with level 3 or higher.

Overview

Submitting a inventory is a 3-step proces. You can use this method to submit the initial inventory for the Set or to suggest an additional alternate inventory. If you just want to indicate that a small change is required for an existing inventory, use the Submit Change Request button in the inventory instead. After completing each step, you can save your work and continue at a later moment. After completing the first step, the inventory will show up on your Home page under Your Changes, with status In Progress. Use the link to pick up where you left. At any moment you can delete your inventory by using the Cancel and Delete this Inventory button. When you have completed Step 3 and your inventory has been submitted, its status will change to Waiting for Approval. Your submission will been added to a queue and an Admin will take a look at it. (* is mandatory) The Set must already exist but may or may not have an existing Inventory.

Press the Save and Next Step button to backup your work and continue.

Step 2 - Inventory

When entering Step 2, you might see the following message: "Error - Empty Inventory. There are no parts in the inventory. Please add parts by importing from a file or add them manually by searching for them." If you try to press the Save and Next Step button an error message will be display ("Inventory has errors").

Change Requests

To request a small part inventory change (adding or replacing a few parts or spare parts), or to provide (a link to) a new image for a set, you can use a special Change Request form. This feature is only available for members with level 2 or higher.

Inventory Change

The Submit Change Request button is located at the bottom of the screen on the right, below Discover More MOCs. Pressing the button will bring up the Change Request popup with the following text:

"Please enter your change for set xxx. Be as clear as you can and please indicate the source of your information - i.e. why you think the change should be made.

e.g. Add 2x part 3001 (2x4 brick) in dark-red as a spare part. Source: I just built this set.
e.g. There should be 3 instead of 4 of the dark-blue 15068 curved slope parts. Source: building instructions."

If needed, you can press ESC to quit the Change Request without sending. Enter your text and press Submit. A confirmation message will be displayed. The request will be added to the queue, and an Admin will either approve the request and perform the update, or reject it. In both cases, you will receive an email confirmation.

New Set Image

When we have no image for a set, the following text will be displayed:

"We have no image for this Set!
If you can contribute, please Submit a Change Request

Note that images must be either official LEGO.com images, or your own photos. We do not accept photos taken from other sites that you did not originally create yourself. See the Terms of Service for details."

Pressing the Submit a Change Request button will bring up the Change Request popup (see above).

If needed, you can press ESC to quit the Change Request without sending. Enter the URL for the new image and press Submit. A confirmation message will be displayed. The request will be added to the queue, and an Admin will either approve the request and perform the update, or reject it. In both cases, you will receive an email confirmation.
